Front Desk Coordinator

BUB is now seeking an experienced and enthusiastic Part-Time Front Desk Coordinator to support our front desk team as our clients' first point of contact while ensuring an exceptional spa experience. This position is 20-30 hours per week and will require evenings and some weekends.

Are you...

• A compassionate and warm customer service or admin professional? 

• Able to provide exceptional service to guests, anticipating their needs and addressing concerns promptly. 

• Adept with excellent verbal and written communication skills with a warm, professional demeanour. 

• Tech-Savvy - comfortable with booking software, POS systems, Microsoft Word & Excel and general office equipment (e.g., phones, printers, computers). 

• Available to work flexible evenings and the occasional weekend? 

• Strong problem-solving skills and a proactive approach to guest satisfaction and team collaboration.

What we are looking for:

• 2+ years of experience as a receptionist or front desk lead, preferably in a spa or wellness environment. 

• Exceptional organizational + multitasking skills, strong attention to detail, with strong adaptability and flexibility. 

• Warm, approachable, with outstanding communication and customer service skills. 

• Proficiency in scheduling systems (experience with Jane is an asset) and general office software is crucial, as well as social media platforms. 

• Knowledgeable about spa products and services, and proficient in sales.

• Passionate about wellness, beauty and the client experience. 

• Comfortable planning events and overseeing the project through to completion.

• Takes initiative and has a willingness to learn.

• Certification in customer service or front desk administration is a bonus.

Key Responsibilities:

• Client Experience: Greet clients warmly, assist with check-in, update client profiles, and ensure all intake forms are completed. Provide guidance on spa procedures and educate clients on our services, products, and promotions.

• Scheduling & Coordination: Manage the appointment schedule in Jane, including bookings, cancellations, rescheduling, and managing waitlists. Ensure smooth communication with staff about changes or arrivals.

• Client Engagement: Build and maintain strong client relationships, promote products and services, and introduce new offerings. Follow up with clients post-treatment, especially for first-time or intensive procedures.

• Sales & Upselling: Promote spa services and products to clients, advise on treatment packages, and streamline retail purchases.

• Facility Coordination: Open and close the spa and maintain a clean, organized, professional front desk and waiting area to create a welcoming environment for clients. Assist with light cleaning tasks as needed.

• Payments & Records: Process payments, issue invoices, and register new clients while maintaining accurate records of all business transactions.

• Administrative Duties: Complete administrative tasks to support the Spa Manager and the daily operations of the Spa. This may include assisting with inventory, event planning and/or social media.

• Leadership: Support the front desk and practitioner team, ensuring efficient operations and maintaining the spa’s luxurious and inspiring atmosphere.

• Evenings required and occasional weekends.
